“A template for the decisions, not just the pages.”

Working structure · adapt to your board mandate

A board pack template built around evidence and decisions.

Use the six sections below as a durable document contract. Keep the sequence recognisable from one meeting to the next, bind each evidence block to its source, and change the narrative where the facts or decision context changed.

The six-section contractp. 2

What each section must help the board do.

  • 1. Executive brief and board decisions

Purpose: State what changed, what needs attention, and which decision or support is required.

Data contract: Owner commentary, decision log, material exceptions, and prior-meeting actions.

  • 2. Financial position and forecast

Purpose: Show actual versus plan, cash, runway, forecast movement, and material variance.

Data contract: Ledger or finance system, budget, forecast, and approved metric definitions.

  • 3. Commercial performance

Purpose: Connect pipeline, conversion, retention, expansion, and concentration to the plan.

Data contract: CRM, billing, product, and governed warehouse models.

  • 4. Customers and operations

Purpose: Explain delivery, service, adoption, capacity, hiring, or reliability movements.

Data contract: Support, delivery, people, product, and operational systems.

  • 5. Risk, assurance, and dependencies

Purpose: Make material exposure, confidence, mitigation, and accountable ownership visible.

Data contract: Risk register, control evidence, incident records, and owner attestations.

  • 6. Actions and next reporting commitments

Purpose: Close the loop between this meeting, its owners, and the next recurring pack.

Data contract: Decision and action register with owners, dates, status, and evidence links.

Illustrative composition

Structure first; sample numbers never become evidence.

The plate demonstrates a possible hierarchy for summary, performance, and comparison. Its values are illustrative Rahoto sample content, not customer data, financial advice, a benchmark, or a product-performance claim.

A real pack should expose metric definitions and sources, show uncertainty, preserve footnotes, and identify an accountable owner for every recommendation or action.

Setup checklistp. 5

Turn the outline into a governed recurring report.

  1. Name the accountable owner and intended board audience.
  2. Define each metric once, including grain, period, currency, and source.
  3. Bind tables, charts, and values to governed datasets rather than pasted exports.
  4. Set the page system, typography, footnotes, brand rules, and reading order.
  5. Configure review, preflight, access policy, variants, delivery targets, and schedule.
  6. Run a dry delivery, reconcile the result, and retain approval evidence.

Continue with source connection, report composition, andpublishing and scheduling. This outline is guidance, not a universal governance or directors' duties checklist; adapt it with the qualified owners responsible for your organisation.
